How to create a layaway account
Note: It is recommended to create a separate layaway account for each customer.
- In Paladin, on the top ribbon, select the Customers module.
- On the bottom ribbon of the module, select F2 Add Customer.
- In the Add Customer window, using a 2D barcode scanner, scan the back of the customer’s Driver’s License. This will auto-fill the information needed. If you do not have a 2D scanner, fill out the information manually.
- In the Name field, be sure to include LAYAWAY after your customer’s name (example: JOHN SMITH – LAYAWAY).
- Click F12 Add.
- In the Customer tab, in the Form Control pane, depending on if you want layaway customers to receive statements, either check or uncheck Create month-end statement?
- Select the Credit tab.
- In the Credit pane, uncheck Apply Service Charge? (Layaways don’t need this, but by default, this is selected when creating a new customer account).
- Click F12 Save.
Now that a layaway account is created, depending on if you want layaway customers to receive statements (step 6 above), you’ll be able to send a monthly statement to customers, and they can pay off the item(s).
How to create a layaway order
Note: Follow the instructions in the How to create a layaway account before creating a layaway order.
- In Paladin, on the top ribbon, select the Invoice/Quote module.
- Enter or select the customer account from the Customer list.
- Scan the item or enter the part number in the Part number box and press Enter.
- Enter a quantity in the Quantity box if more than 1 and press Enter.
- On the bottom ribbon, click Checkout.
- On the bottom ribbon, click Store Transaction.
- In the Store Transaction window, select On Hold.
- In the Name box, enter a name that includes layaway.
For example, enter this information: Layaway – John Smith 4-2-13. - Click F12 Store, then exit out of the Invoice/Quote module.
How to receive a layaway payment
- In Paladin, on the top ribbon, select the Invoice/Quote module.
- Enter or select the customer account from the Customer list.
- On the bottom ribbon, click F5 Account Payment.
- In the Account Payment window, enter the payment amount in the Payment box.
- In the Note box, enter this term: Layaway
- Click F12 Checkout.
- On the bottom ribbon, select the method of payment, then press Enter.
- In the Transaction Complete window, you can print the receipt with the payment amount.
- Exit out of the Invoice/Quote module.
How to view a layaway status
- In Paladin, on the top ribbon, select the Invoice/Quote module.
- Enter or select the customer account from the Customer list.
- On the bottom ribbon, click F5 Account Payment.
- In the Account Payment window, the layaway amount appears as a negative amount in the Charged (Not Due) box.
- Click Cancel, then exit out of the Invoice/Quote module.
How to recall and complete a layaway transaction
- In Paladin, on the top ribbon, select the Invoice/Quote module.
- Enter or select the customer account from the Customer list.
- The Stored Transactions window opens and points to F6 Recall Transaction.
- Press F6 Recall Transaction.
- In the Recall Transaction window, highlight the transaction, then press F12 Recall.
Note: If the customer is going to charge the layaway to their account, select the Checkout tab, and on the bottom ribbon click F2 Charge. The full amount of the credit on account will be applied to the transaction.
- Press Enter.
- In the Invoice Information window, in the PO number box, enter a PO number or “Layaway” and press Next>>.
- In the Signature Capture window, have the customer sign or click Next.
- If the customer did not sign, the No signature window opens. If you want to proceed without a signature, click Yes.
Note: If the customer is going to use cash, check, or a credit card to make the payment, select the option from the bottom ribbon and press Enter.
- Exit out of the Invoice/Quote module.
How to create the payment report for all layaway orders
- In Paladin, on the top ribbon, select the Reports module.
- In the Report Area pane, select Sales Analysis > What I Need to Know.
- In the Report List pane, click Transaction Report.
- In the Choose Report pane, click F12 Next.
- In the Additional Settings pane, in the Keyword Search box, select NoteField.
- In the dialog box next to NoteField, enter: Layaway
- In Sorting Options pane, in the Sort by list box, select Account Name or Account Number.
- Click F12 Run Report.
A PDF of the report opens.
How to create the customer report for layaway orders
- In Paladin, on the top ribbon, select the Invoice/Quote module.
- On the bottom ribbon, click F6 Recall Transaction.
- In the Recall Transaction window, select On Hold.
- Check Show for all customers.
- Click the Name column to search for the stored layaway items in ascending or descending order.
- Click View in Excel. An Excel icon appears on the bottom task bar of your computer.
- Click the Excel icon to view the report.
